PRACTICAL, NOT THEORETICAL

What actually works in guest messaging.

Short answers to the questions that come up in every Paphos season — written for people running villas, not for lawyers.

Automate the routine, escalate the rest

The messages that repeat — arrival questions, parking, WiFi, checkout times — are safe to answer from approved information. Price changes, complaints, refunds and access issues should always reach a person. That split is the whole safety model.

Turnovers are where weeks break

A late checkout plus an early arrival turns into a bad review fast. Write down who confirms each clean, by when, and what happens on a same-day turnover — then make sure the cleaner hears it from one place, not three.

Ask every guest for the review

Send the same short review request to every eligible guest after checkout. Never gate it on what they answered beforehand — that is the fastest way to lose a platform's trust, and it is dishonest besides.

The shoulder months pay for the year

Your Jun–Sep occupancy is often already high — the gains sit in April, May and October, where a faster reply and a full calendar of reviews move the needle most. Run the seasonality map with your own pattern.

Answer in the language they wrote in

Guests in Paphos arrive from everywhere. Answering in the language of the incoming message — English or Greek — before switching to yours is a small effort that consistently earns warmer stays and better reviews.

Your WhatsApp number is the front door

Most guests will message rather than call. Whatever you connect — Airbnb, Booking.com, your own site — treat WhatsApp as the place where questions get answered quickly and everything sensitive gets handed to a person.

COMMON QUESTIONS

The six that come up in every audit.

What should I never answer automatically?

Anything about money (refunds, discounts, deposits), complaints, safety, or access to a property that has not been verified. Those need a person with judgement — automation should hand them over, not handle them.

How fast is "fast enough" for a guest message?

Guests of holiday rentals expect an answer within an hour or two during the day. Outside sleeping hours, a good acknowledgement — "got it, you will hear from us in the morning" — does most of the work. Slow silence is what costs bookings.

Should prices ever appear in an automated reply?

Only if the price is one you have approved and it cannot change by the time the guest books. A stale price in an automated reply is a promise you did not mean to make. Safer: link to your live booking page and let it quote.

How do I stop repeat questions in the first place?

Write down every question you answered twice last month. Those are your arrival guide, your parking note and your checkout instructions. Most repeat questions come from information that was never written down once.

Is it worth it for one villa?

One villa with 40 enquiries a month still loses bookings to a slow reply — run the ROI calculator with your numbers and see. If the math is thin, the templates and checklists on this site are free and still worth using.

What does the VillaReply service add over these tools?

These tools are DIY. The service sets the workflows up for you and keeps them running: the WhatsApp replies, the cleaning coordination, the follow-ups — with your rules approved in advance and anything sensitive handed back to you.
